Problem

A globally distributed investment management firm needed a firm-wide SharePoint Online platform strategy, a clear information architecture, and M365 governance rigorous enough to carry content management, compliance, and a responsible Copilot rollout.

Approach

Central Product Owner for SharePoint Online: defining the platform roadmap and architecting the firm-wide site landscape and information architecture. Developed and enforced M365 governance, compliance, and security policies covering sensitivity labeling, DLP, and access control. Partnering with business stakeholders on content management, collaboration tooling, and AI and Copilot strategy.

At a firm operating across global offices with thousands of employees, SharePoint Online had grown without a governing architecture. Sites proliferated, permission models diverged, and sensitivity labeling was largely absent, leaving both compliance posture and Copilot readiness on shaky ground.

Engaged through TekSystems as M365 Solutions Architect and SharePoint Product Owner, the role combines strategic roadmap ownership with hands-on policy and governance delivery. The roadmap lays out a sequenced plan: rationalise the site landscape, define information architecture zones, and roll out M365 governance controls progressively. Sensitivity labeling policy, DLP rules, and access control frameworks are designed and enforced through Microsoft Purview, with governance decisions documented and tracked as a product backlog rather than filed in a binder.

Copilot readiness runs in parallel, because Copilot surfaces whatever SharePoint contains. Oversharing, ungoverned external access, and weak sensitivity classification translate directly into AI liability. The governance foundation being built here is the prerequisite for any responsible AI tooling rollout. Working partnerships with legal, compliance, and business leadership keep policy decisions anchored to actual operational constraints instead of theoretical best practice.
